2025 Art and Craft Sponsorship Terms and Conditions
Thank you for considering becoming a sponsor for our event. Your support is crucial to the success of this festival and the raised funding going to Oyster Bay Public School and students. We appreciate your willingness to work together. Below are the terms and conditions that outline the obligations and expectations for our sponsors. If you are donating any perishable items, please ensure you also review these additional terms below
Sponsor Obligations and Expectations
Payment/Donation Submission
Sponsors are required to submit their agreed payment or donation by the specified cut-off date. This ensures that the funds can be allocated appropriately in the planning and execution stages of the event. Delayed submissions may impact the sponsor benefits as outlined in the sponsorship package.
Sponsorship Agreement Compliance
Sponsors agree to comply with the terms outlined in the sponsorship agreement. This includes, but is not limited to, adherence to branding guidelines, submission of marketing materials within the agreed timelines, and cooperation with event organisers for the successful integration of sponsorship contributions.
Sponsorship benefits for Community Champion & Local Legend
As a valued Community Champion & Local Legend you are exclusively invited to join our Festival Launch Party as a guest on Friday 23 of May 7.30pm – 10.30pm. (formerly referred to as the Gala Evening in our sponsorship document). Your sponsorship entitles you to two complimentary tickets, each with a value of $50, providing you with access to this event to mingle with up to 400 parents and community members. Additionally, we’re delighted to offer you an exclusive 20% discount on any additional tickets you may wish to purchase. This benefit is a token of our appreciation for your generous support.
Brand Representation
Sponsors must ensure that their brand is represented in a manner that aligns with the values and objectives of the event. The event organisers reserve the right to review and approve all sponsor-related content and materials that will be used or distributed at the event.
Collaboration with Event Organisers
Sponsors are expected to maintain open and transparent communication with event organisers. This includes promptly addressing any concerns, providing necessary information when requested, and participating in scheduled meetings and discussions relevant to the sponsorship arrangement.
Cancellation Policy
In the unlikely event that a sponsor wishes to cancel their sponsorship, they must notify the event organisers in writing at least 30 days before the event. Please note that depending on the timing of the cancellation, a portion of the sponsorship contribution may be non-refundable..
Alteration of Event Details
The event organisers reserve the right to alter the event date, location, format, or other logistical details if necessary. Sponsors will be notified of any significant changes as soon as possible. If such alterations significantly impact the sponsorship benefits, the organisers will work with sponsors to adjust the terms accordingly.
Indemnification
Sponsors agree to indemnify the event organisers, including its affiliates and officers, from any claims, liabilities, losses, and expenses arising from or related to the sponsor’s participation in the event.
Disclaimer of Liability
The event organisers shall not be liable for any direct, indirect, incidental, or consequential damages incurred by the sponsor in connection with the event, except for liabilities that cannot be excluded under applicable law.
Force Majeure
Neither party shall be in breach of this agreement if there is any total or partial failure of performance by them due to any cause beyond their reasonable control.
By agreeing to these terms and conditions, sponsors commit to fulfilling their obligations and contributing positively to the success of the event. We look forward to a beneficial partnership and an exceptional event experience for all involved.

Terms and Conditions for Donating Perishable Items
Thank you for considering a donation of perishable items to our festival. Your contribution is invaluable in helping us achieve our fundraising efforts for the school. To ensure the safety and well-being of the recipients and to comply with legal and health regulations, we have established the following terms and conditions for all perishable item donations:
1. Quality and Freshness
Donors are responsible for ensuring that all perishable items are of high quality and within their use-by or best-before dates at the time of donation. Items must be free from any signs of spoilage, contamination, or damage.
2. Packaging and Labelling
Perishable donations must be appropriately packaged to maintain their integrity during transport and storage. Packaging should protect the items from contamination and damage. All items must be labelled with their contents, allergen information (if applicable), and the use-by or best-before date.
3. Transportation
Donors are responsible for transporting perishable items in a manner that maintains the cold chain for refrigerated or frozen products. The Festival reserves the right to refuse donations that do not meet the required temperature guidelines upon arrival.
4. Inspection and Acceptance
Upon receipt, all donated perishable items will be inspected by a designated representative of the Festival. The Festival reserves the right to reject any donations that do not meet our quality and safety standards.
5. Documentation and Record Keeping
Donors may be asked to provide documentation detailing the source, quantity, and description of the perishable items donated. The Festival will maintain records of all donations received for compliance and reporting purposes.
6. Use and Distribution
The festival will distribute donated perishable items during the festival 23rd to 25th May 2025 promptly to ensure they are consumed while still fresh. However, the Festival reserves the right to determine the most appropriate use of the donations, and can choose to dispose of it if the items are deemed unsuitable for consumption.
7. Liability
Donors agree to release and indemnify the Festival, its Volunteers, and the school against all liabilities, claims, damages, losses, and expenses arising out of or in connection with the donated perishable items. This includes any claims relating to the quality, safety, or fitness for consumption of the items.
8. Compliance with Laws
Donors are responsible for ensuring that all donations comply with applicable local, national, and international laws and regulations related to food safety and donation.
Acknowledgement
By donating perishable items, donors acknowledge they have read, understood, and agree to abide by these terms and conditions. The organisation appreciates your support and cooperation in helping us maintain the highest standards of safety and compliance.
